The important points to note when choosing Conference Venues in London is contact

1)Locality – If the venue is easily accessible to delegates

2)Logistics – If the Venue will provide the basic requirements, i.e.light refreshments, stationery , PA for speeches, a rostrum, a stage and basic lights for the stage area and the cost for hire for each breakout room. If the Conference Venues in London do not provide these basic requirement, providing them yourself as an organiser can add to the cost considerably.

3) Prices of Consumables – If you are already paying for a Conference Venue for Hire, it is good to check on the prices or the light refreshments as these can be extremely high. For Eg a just of orang juice can cost up to £20.00, a bacon sandwitch can cost £5 – £10 pounds each, a bottle of fancy sparkling mineral water can set you back another £10.00

It is good to use a venue hire company to negotiate a total amount that includes all the necessary to avoid going overbudget which can easily happen.

Many Conference Venues in London have strict loading and unloading times, it is good to find this out in advance as you can end up paying a lot for overtime if you are not able to empty the room at the set time.

Demand for Packaged Conference Venue hire in London is increasing as clients opt for fixed costs rather than hiring a venue that an have variable costs.

Venue Hire Sales Managers are known to promise everthing only to the dismall of the conference organisers on the event day. It is good to have a venue expert to help you cover all the bases covered.

Please feel free to contact Carrie Larwood on 0207 808 5634, she can personally help you avoid all the pitfalls of organising a basic conference to a large one with her comprehensive checklist and many years of experience.

Almost daily, we receive requests from Various Venues’ Sales Departments or the Venue Owners themselves about advertising or getting listed on this website. Generally most venues still require a large amount of marketing to fill up their calendars. Some venues are paticularly popular during the weekday for conferences and corporate events and certain venues are only popular on weekends. Most venues aim to fill up their space 7 days a week.

This website works via three methods, whereby venues receive a free listing, they pay for a standard listing, or they pay monthly to be a featured venue via a banner adds on the front page of the website.

The idea of Venues for London came about when we started Music for London a live music agency which was set up in 2002. The Venues for London.Co.Uk website is officially owned by Montagu Media which in turn is owned by Cuzzy Media Network. Venues for London or rather VFL as it is known is part of an Interntaional Network of service related websites. This is part of the reason that makes this website so popular and easily found when clients look to hire corporate venues, wedding venues, function rooms, party venues or to hire conference venues. The targeted newtwork includes Events for London and Caterers for London.

Events for London features the various suppliers involved in the creation and production of an event, this includes the logistic and technical suppliers. This includes PA Companies, Production , Lighting , Crewing, Security, Decoration, Logistics and Set Companies.

Caterers for London features the various levels and variety of caterers involved in the catering industry in London.

Apart from this regular SEO activities are taken to ensure the site can be easily found and would be of beneficial to our customers.

There are three type of Venue Listings available at Venues for London.

Free Listing

A free listing requires the venue to email us an article about the venue, jpegs, a corporate video if it is available (alternatively we can produce one for you for a small fee) and detailed information about the venue.

Your contact details will not be shown for a free listing, all enquiries for venue hire will pe passed on to a professional venue finding agent, who will then get in touch with you and work out a sales comission and introduce the potential client to you when the booking is nearing confirmation.

Standard Listing

A Standard Listing cost a one off fee of £100.00 + VAT . This listing requires all of the above information including the venue contact information. The difference with this listing is, the enquiry will come direct to the venue and there will be no agency involvement.

Boats, Pubs, School Halls, Bespoke Venues, Restaurants and almost any space is now regularly marketed as event and function rooms or corporate of wedding venues in london. London Pubs, especially the store rooms upstairs are being converted to swanky function rooms, and the largers pubs themselves are using the available space for private hire.

There is one reason that makes pubs and public spaces popular for even small private parties. Generally peoples living spaces in London is relatively small and not suitable for larger parties of more than four people, hence birthdays, promotion celebrations are most often held in function rooms across london or hotels venues for those with larger budgets.

Many function rooms can be obtained for free if there is a guaranteed spend on food and beverage, this avenue must be explored when looking for a private function room for hire in London. One of the important points to look our for is the closing time of the function room and till what time the staff are available. Most function room owners will allow for a late closing time as it is a private party or event, but it is important to check on the overtime charges before comitting as most private parties in a private area will inevitable run late.

The more posh venues will tend to be extremely expensive when extensions are required, it might be worth hiring a slightly low end function room in the London suburbs if you thing your party or event will finish late.

Nevertherless if you are looking for your ideal free london function room please feel free to Contact us.

Some of London’s top Venues have been going through multi million pound facelifts. With stiff competition in the industry, venue owners have started to splash on aesthetics and decor like never before. Venue sales people are also taking the extra care to ensure that potential clients are well looked after even before the deposit is put down.

Events in Venues are important to ensure the top end profits are made as rooms have become cheaper in London and rooms tend to only cover the running cost of a hotel venue, whereby the events tend to bring in the profits especially when they are bespoke events for celebrations on conferences where clients want to show their appreciation to their customers.

Some venues are going as far as just offering their venues for free for film shoots for that little extra bit of awarenss with regards to the venues. With many hidden gems all around London, a free venue finding service is essential in bringing about these beautiful venues to potential customers and clients.

So does all these extra costs eventually bring in the extra money, well they collectively do, if a hotel venue is booked, the tendency is their rooms will be booked to, so in essence hotel rooms need a nice venue to attracts potential wedding bookings, party bookings or corporate event bookings for the hire of various services offered by the venue.

There is profit to be made all along the chain, corporate venue hire is big business and venue finding services are essential in increasing the sales required to make these venues busy on a regular basis.

As the sun has started shining, summer BBQs come to mind with Steel Bands playing in the background. Venues for London has a log list of venues that can cater for BBQs, as not all venues with outdoor facilities will allow for an open fire. With various health and safety legislations in place when hiring out venues, only designated cooking areas can be used for fires and not all venues allow open fires, may of the venues only allow food to be heated in a microwave only.

You can even book a BBQ london venue at the very last moment in London and receive good discounts, so you can look at the weather in the morning and decide you are going to have a party in the afternoon, afterall a spontaneous party can be the most memorable and fun. Catering will be complicated when booking a venue at the last moment, but various London Caterers can rise to the ocassion, but it would be good to hire a venue that serves food, if it is done at the last moment.

BBQ parties need not be grand, it can be done to celebrate and ocassion and can be done in a simple format with burgers and sausages, you don’t need to have premium cuts of meat or seafood.

It is always nice to have a BBQ party near a poolside if budgets and logistics permit.

This is probably the most important question a bride and bridgroom will have before they start planning their wedding day, well to be exact the bride, guys tend not to worry about the wedding too much at all until the very end. Brides however plan the wedding a year or two in advance.

When you find a venue, ensure that you read the booking contract for the small print, this is where many brides fail after falling in love with the look of the venue.

1) Ensure the Wedding Venue does not have a sound limiter unless you are planing to have a quiet wedding party. Sound Limiters are great big white wet blankets. Vocals will send the limiters to their limit easily, cutting off the power while the live wedding band is peforming. It is a draconian device. The sales person for the person for the venue will off course say, don’t worry, it will all be fine, they just have to ensure it is turned down slightly, what he or she is actually saying is ‘it needs to be tuned down by 50 – 75%.

2) Health and Safety – Check what their health and safety policy is, will the caterers, event production company or bands have to supply a risk management and method statement document. This will increase your cost with the suppliers

3) Check in detail the late finish policy and charges as a good party is sometimes difficult to end and you yourself would be feeling like partying. Once the sales person at the wedding venue agrees to the additional charges and finish times etc. ensure it is in the contract.

4)if you are planning to have one of the weddings with a real cool and fancy look created by curtain, backdrops and lights, ensure you take and event production person with you. Just because you went to a wedding where they said it costs £5k, it does not mean it will cost anything similar for the wedding venue you have chosen. Logistics, venue location, ready fittings, power supply issues with the venue you have chosen, can mean the cost to create the same look that your cousin Sara for her wedding might actually cost you £10k

5) Not everyone can afford a wedding planner, but if you can afford one, get quotes from the recomended wedding planner that venue gives you andone you find independently. Venues are like little cartels, they prefer for you not to bring any of your own suppliers or bands, simply because someone at the venue is on the take from the suppliers. If you have a paticular caterer , musician or any supplier that you want to specifically use, find a wedding venue that will accept your terms. Get married on your terms, sit at the negotiation table and negotiate your terms, do not let yourself be bullied.

6) Location – think about about your friends and family, if they can afford the nearby accomodation if they cannot travel on the same day. That is if you are not booking the rooms for them. If the venue is in London, look at hiring a minicab company as well, not all your guests will be able to afford Black Cabs to the home counties. Best is to give guests a choice.

If you have any tips, please feel free to add them here at the comments section below.

Conference Venues in London have gone through a marketing renaisance. Up to 2008 most venues did not take advertising and marketing their venues and facilities, seriously, concisely, accurately or not at all.

Demand was so high for the rental of their empty spaces for boomtime conferences that venues had such a high demand rate for the hire, that none of the marketing aspects were seriously looked into.

Afterall individual venue finding companies or individual venue finders did all the work anyway.

2010 has seen a new wave of high end websites being launched by the venues, utilising high marketing budgets online and print. The venues have woken up to the fact that they need to now fight for the business, unlike the golden decade, where any empty room in the square banking mile and the west end could be meticulously transformed to classroom setting, arena style or boardroom conference venues.

During the boom time, drug companies, pharmaceuticals, hedge funds, investment companies, supermarkets, estate agents, you name it, everyone was utilising the maximum tax break allowed for conference and training. It was simple, if you did not utilise the excess funds, you had to use it to pay your taxes, this created the conference boom that lasted a golden decade from 1998 – 2008, when conference venues were booked back to back and freelance technicians, producers and local crew did not have much sleep.

The industry had an odd defying 10 years, with exhibition after exhibition being thrown out at Olympia and Earls Court. The local crew rates were 20 per hour, 20 per hour for people who only needed some common sense and an able body.

South Africans, Kiwis and Aussies were flying across the world to cash in on the great cash cow, the ‘London Conference Industry’.

American banks would come in and throw parties for their special clients after a conference and for the staff who were making money from nothing, the golden boom years, where more ferraris were sold in England then in any other decade.

After 9/11 , the conference industry braised itself for a downturn that did not happen, everything stopped for a month and then there were more conferences being organised, the money did not stop flowing in. Conferences were organised for any possible reason, if a company wanted to wine and dine their clients they organised a corporate event built around a conference, to justify the quarter million pound gala dinner.

American Software Giants were organising conferences around Europe to add a special touch and make it unique. Technical Crew from London were flown around Europe to set up and organise the conferences.

All that saw a quick and swift end in 2009, when the recession became real and companies were going bust and running out of cash. Venue owners suddenly figured they needed a marketing plan to fill up their empty rooms that were filled with a buzz for ten years. Hotel ballrooms became just that, occasionally used for a Ball. There were no arena seating being brough in with large amount of sets to transform spaces.

The new venue websites are all 2.0 websites using complex database systems to book the venues. Packages have been set up like a menu, before everything was negotiated on an as required basis.

2010 has seen a slight increase in conferences and venue owners are patiently waiting for a new boom that they hope will arrive in 2011/2012 where London is once again seen as a major venue destination. With the new devalued pound that all seems possible for the next conference venue hire boom.

The wedding venue industry in London took a backseat as the recession cut into the spending on big parties in 2009.

2010 has seen an increase in bookings and increase in enquiries for wedding venues in 2011. Gor those who have rather large gardens in the country or the home counties use marquee companies to set up marquees. Marquee companies saw a higher demand to set up wedding venues in gardens while hotels and stately homes used as wedding venues saw a drop in demand through out 2009.

2010 will make up for some losses in 2009 for wedding venue operators but will certainly not see a return to profit as hoped. Jim Peterson, wedding venue owner said that he is hoping 2011 will see a return of profit to shareholders and bonuses for staff as seen in the boom years from 1998- 2008, we had a fanstastic 10 years we demand for wedding on Saturdays in summer reaching 16 – 20 times more that availability. In 2009 we say several key summer weekends empty. For those who went ahead and booked the venues for their weddings went for basic packages and also droped luxury items like live bands and musicians , chocalate fountains, ambient lighting, canapes for their drinks receptions.

The London Caterers had a very mediocre year as well, having to let down many freelance catering staff down by not being able to give them the regular work that they had become accustomed too. Smaller pub venues and function rooms became extremely popular as well, with brides opting for stand up buffets rather than sit down meals.

Wedding Venue operators have seed a positive mood and interest from brides and bridegrooms for more elobrate packages, expecially for those booking venues for 2011. They are going for more courses and choices with the meals and not something extremely basic. They are also looking at better wined and finer champagnes for the wedding breakfast parties.

Choosing a conference venue can be one of the most difficult tasks that you are challenged with during your working week. The main points to consider before you start the process are:
Location – this can often be quite specific due to transport links
Number of delegates and the set-up of the room – theatre-style takes up far less room and is therefore advisable for numbers of 130 or more. Cabaret style is very popular and less formal but does mean that you will need a considerably larger room.

Type of event – is the meeting of a sensitive nature? Do you require exclusive hire of a venue? Do you need a specific conference venue or would you prefer something more unusual and unique? Do you wish to bring a more creative angle in and use different spaces for different activities?
Rooms – how many rooms will you require? A main meeting room with breakouts for smaller groups?
Catering – do you need breakfast on arrival for your delegates, what sort of lunch would you prefer? A sandwich lunch in a foyer area, a fork buffet or perhaps a seated lunch.

Timings – what time do you need set-up from – when will the delegates arrive?

Venue – with so many interesting and exciting venues coming onto the conference market, it can be difficult to stay in touch with all of the latest venues available. For each potential venue you need to be able to assess quickly and easily how appropriate they are for your particular needs. The simplest way to find the perfect venue for each meeting and conference is to speak to our team of experienced conference organisers who will help you along each step of the way.
